Administrative Specialist - Acquisition Specialist

Administrative Specialist I: This is a Technical Services administrative specialist position responsible for inputting bibliographic, order and item records into the Library System database, maintaining the accuracy of database and financial accounting. In the team environment employees will participate in setting unit, library, and system goals, contribute to decision making and evaluation of progress. Employees will collaborate with co-workers to support the team process.


Customer Service
Implements standards of service that ensure the prompt and efficient resolution of each inquiry from internal and external customers, delivered with the utmost courtesy and respect
Keeps abreast of developments, new trends, and innovations in libraries
Provides information sharing with internal customers as needed
Attends library team meetings
Provides assistance at service desks and to other sections as needed
Represents Sarasota County to library users

Collection Development/Maintenance
Inputs all required information for order records and item records into the library database for purchases and donations
Manages order records, typing and data entry
Proofs and edits database records as needed
Downloads vendor supplied MARC records, verifies accuracy of cataloging and edits as needed
Performs routine maintenance of database by deleting information for withdrawn materials
Performs database changes as directed for special projects
Corresponds with vendors about missing, damaged or defective items
Participates in transfer of order records from one fiscal year to the next at close out
Performs copy cataloging of AV and book materials
Participates in end of year close out of materials budget
Creates item record codes as necessary for special account tracking

Staff Development
Participates as a member or Team Leader in assigned short-term special projects
Participates in cross training in other sections and aids in cross training in own section
Provides opportunities for continuing professional development of self and others, especially in acquiring relevant understanding and skills

Attends annual cash management training and assists in all areas of business unit cash management as required

Qualifications Minimum Qualifications: A High School Diploma or equivalent education and at least two (2) years business-related experience or exposure. Possess an aptitude and willingness to learn.

Preferred Qualification: One year library experience preferred.

Job Competencies: Effective verbal and written communication skills. Knowledge of standard library procedures. Skill in operating computers and standard office equipment. Strong organizational skills and the ability to work productively in a team environment. Responds appropriately to controversy or sensitive issues, places priority on responses to internal/external issues.
