GPLS Administrative Coordinator

**Serves as first contact for incoming telephone calls, visitors, shipping and receiving.

**Work under the supervision of the Office Administrator.

**Prepare outgoing packages for mailing and pickup. Accept deliveries and be able to regularly lift and carry up to 50 lbs.

**Create, modify, submit and retrieve documents such as purchase requests, presentations, reports, memos, letters, charts using Microsoft Office Suite and other software as requested.

**Prepare documentation for state legislature and Board of Regents as requested.

**Assist with the moving and/or set up of furniture, equipment and shelving as needed.

**Work with the Director of Facilities to oversee the administrative functions for public library construction programs and grants. Assist in the preparation of monthly and annual reports using compiled statistical data.

**Assist the Director of Facilities in analyzing budget estimates and the control of expenditures on construction projects. Prepare data reports that monitor progress of construction projects.

**Perform general clerical duties such as filing, copying, faxing, and mailing. Maintain office equipment such as copiers, shredders, fax machines, laminator and plotters as needed or requested.

**Create and modify travel forms for designated staff as requested.

**Arrange travel plans and itineraries, compile documents for travel related meetings and accompany office administrator as requested.

**Provide support for professional library to include processing interlibrary loans and shelving.

**Perform administrative duties for staff as requested.

**Associates degree and more than three years of experience performing clerical or administrative work in an office environment required. Or at least two years of college and five years of administrative experience.

**Must be proficient in the use of the Internet, E-mail, Microsoft Office Suite, desktop computer support, as well as skilled in working with numbers and in the use of grammatical standards.

**Statistical analysis is a plus.


**Knowledge of modern office principles and practices.

**Knowledge of Board of Regents policies and procedures.

**Knowledge of budget management principles.

**Knowledge of computers and job-related software programs.

**Knowledge of customer service principles and practices.

**Skill in analyzing data and preparing reports.

**Extensive skill level in Microsoft Office Suite, with an emphasis on Word, Excel and PowerPoint.

**Excellent written communication skills. Ability to write clearly and edit work for spelling and grammar errors.
