Can email distribution lists be set up?

Library email administrators can set up email aliases that act as distribution lists. Go to your library's email administration pages and choose the "Edit Email Aliases" link. Create an address, for example: "allstaff@examplelibrary.org," then list staff email addresses in the "Forward to other addresses" field. Ensure the "forward to addresses" box is checked.

How will GPLS Email Service announcements be sent?

This will be done though a mailing list: EMAILADMINS-L:
emailadmins-l@list.georgialibraries.org.

Membership of this list comprises IT administrators and directors of Georgia public library systems for which email services are hosted by GPLS.

Can staff access their email via a web interface?

Yes. Go to http://mail.examplelibrary.org (where "examplelibrary.org" is the library's domain). Users should login using their full email address as the Username. Use the password as set by your IT administrator.

Where is the web page for users to administer their accounts?

Users can set new passwords, set up out-of-office replies, email forwarding etc., by browsing to https://mail.examplelibrary.org:20000 (where "examplelibrary.org" is the library's domain). Note: you may need to add a security certificate exception for this site. This page is distinct from the "regular" web mail page above. Users should login using their full email address as the Username. Use the password as set by your IT administrator.

Is Email Filtered for spam & viruses?

Yes.

Are there any size limits on email messages?

Yes. The system will not accept messages that are greater than 10MB in size.

Are there size limits on users' individual mailboxes?

Yes. Each library has a disk space quota on the server. Within that quota, each library's IT administrator can set quotas for individual mailboxes. We strongly recommend that users should periodically download email messages via client programs (Outlook, Eudora, Thunderbird, etc.) for local archiving.

Does the server support IMAP?

Yes. Unlike POP (Post Office Protocol), IMAP (Internet Message Access Protocol) stores users’ email messages on the server, rather than retrieving them for local storage. The advantage of this is that staff can access their stored messages from any computer via both web browsers and IMAP-capable email client programs .Be aware that messages stored on the server count towards libraries’ server disk space quotas as well as those set by library administrators for individual users. So be sure users are deleting unwanted messages, purging trash folders and archiving old messages to locally-stored folders. IMAP is supported by most popular email client programs

What account settings should be used in email client programs?

Use the following in users’ email client programs (example: Outlook, Thunderbird, Apple Mail). Substitute your library domain for “examplelibrary.org”

For notebook PC users, select "Outgoing server requires authentication." This will allow them to send mail from email client programs when using their PCs offsite.
