Access Services Specialist

Reporting to the Head of Access Services, the Access Services Specialist is responsible for the processing of material borrowed via ILL for use by Emory students, faculty and staff. These responsibilities include receipt, physical preparation, checkout, renewal, overdue and fine management, and return shipping of borrowed items as well as training and supervising the work of student employees who assist with borrowing processing. The specialist provides office coverage for Interlibrary Loan, communicating with patrons and other library staff, by phone, email and in-person, regarding ILL requests and materials.

The specialist also handles electronic document delivery requests for Emory Law professors. This duty includes downloading articles from databases and obtaining books from other campus libraries to be delivered to faculty mailboxes. Document delivery may also include more open-ended research, at the discretion of supervisors.

Additionally, the specialist works closely with professors to create and maintain physical and electronic reserves for all law school classes. The specialist is responsible for pulling all library books that are being used as textbooks and placing them on physical reserve, along with personal copies donated by professors for the duration of the semester, and then taking them down at the end of the semester. The specialist maintains electronic reserves and sorts and tags them for students ease of use. The specialist is also responsible for making sure all reserve materials are compliant with Emory fair-use guidelines.

The specialist takes on a large role in managing the library's Service Desk. This includes student supervision and schedule management as well as hiring and training. In addition, they take the lead on ordering textbooks for faculty each semester, and weigh in on library policies and policy reform.

Detailed Description of Duties:

-Manage all lending and borrowing requests through ILLiad
-Provide complex library user services and research assistance to the law school, university and external communities
-Collect, process, and maintain physical and electronic reserves materials
-Provide access to information, resources, and materials by using a specialized knowledge of electronic databases, complex reference tools, and/or foreign languages
-Create/implement procedures to increase efficiency and accuracy
-In conjunction with the Head of Access Services, create/modify/update text order forms and place and track all orders each semester
-Interpret library and circulation, ILL, and Reserve policies to patrons and staff
-Consult regularly with Head of Access Services to offer suggestions and review policies and procedures, as well as implement new procedures
-Assist faculty daily with electronic document delivery and book delivery

-Serve as backup for Circulation, provide general circulation assistance, including back-up for desk attendants by providing breaks and assistance as needed
-May hire, train, and supervise student employees
-Participate in University Library as well as Law Library committees/working groups
-Add and maintain proxy accounts for faculty Research Assistants
-Assist with documenting processes and workflows for department
-May verify bibliographic information and prepare requests for borrowing and lending of library materials through Interlibrary loan or other means
-Keep statistics on ILL and Document Delivery usage

-Assist in departmental planning for various events (Orientation, Welcome Week, Stress Busters, Visiting Day)
-Interpret copyright law and Emory Fair Use Guidelines to ensure copyright compliance
-Assist with stacks maintenance as needed

-Other duties and special projects as assigned

Bachelors degree in a related field and at least 3-5 years of relevant academic library experience, OR equivalent combination of experience, education, and training

Strong customer service and communication skills

Solid understanding of electronic resources, license and copyright issues

Experience working with Interlibrary Loan and/or electronic document delivery in an academic library

Relevant experience using ILLiad, OCLC, Ares, ALMA or similar


Strong attention to detail, demonstrated capacity for carrying out tasks in an accurate and timely manner

Ability to work with bibliographic citations and materials in a variety of foreign languages

Ability to recognize and set priorities

Ability to master new skills quickly

Strong decision making and problem solving skills
